Welcome to the Waikato Business Awards 2025 Video Hub! Congratulations on becoming finalists in this year's awards. Following the success of previous year's finalists, we're excited to work with you and showcase your business.

You can now arrange your finalist video options on our website. We've worked hard to ensure the entire process is easy and seamless for you. This finalist video service is sponsored and provided complimentary by the Waikato Chamber of Commerce as part of your finalist status in this year's awards.

Whether you prefer filming, editing, or providing your own video—so long as it conforms to our format requirements—we are here to guide you through the process. Your completed video will be available for download shortly after the Gala dinner event.

Each WBA finalist video follows a format specifically required for the gala dinner event. It is our job to ensure all videos conform, sound cohesive, and look visually consistent through the editing process. The video is also suited for social sharing and other uses afterward.

Please select one of the options below as soon as possible to organise your video for the gala dinner. We only need you to submit your decision now; you can confirm booking dates, submit script, edit/film instructions and media files later once you have them ready. You can of course send us all media files with your option at once to save a step on sending files later. Just remember to submit your script (step 2) when you are ready. All finalist video options and video related services are covered by the Waikato Chamber of Commerce, there is no cost to finalist. 

Option 1: Film & Edit

Select the Film and Edit package to have a professional film crew come to your location and capture your business. We’ll then edit a fresh video for the business awards. Book as soon as possible, as our schedule is tight. If you're unsure about the exact date, you can submit the form with multiple dates that can work for you. We’ll finalise and confirm the final date with you later. Please do this now.

Option 2: Edit Only

No filming required. We’re here to make things easy for you—simply supply us with your existing media assets, whether it’s video or photos, and we’ll edit them into a professional video tailored for the awards format. This digital process can be done entirely remotely, so you don’t need to worry about any filming or scheduling.

Option 3: Use Your Own Video

Use your existing marketing video or a previous WBA video as-is, or we may make slight edit to fit the awards format, such as adding a conformed logo screen or a voice-over. If a voice-over is required, you will need to submit a script for us to record, or you can supply your own voice-over. If you prefer your video to be played exactly as it is, please let us know in the form.

If you choose option 3, using your own video without needing a voice over nor a script, and have received our confirmation of approval, your part is done, skip step 2 in this case. We will take it from there.

For most of you, after your option submission, please remember to go to step 2 and submit your script. Due to the large number of finalists and tight schedules, there won't be any review session on your video. You'll see your finished video at the gala dinner event. We have near 100% satisfaction record over the past 10 years of producing WBA finalist videos, you can trust our creative judgement.

Once you have submitted your video option, you will need to send us your script for the voiceover (if applicable), along with any missing or additional media assets.

The WBA finalist video is a 30-second clip with a voiceover introducing your business. We handle all audio production and recording. If you choose option 3, use your own video as is, then there is no script is needed after our confirmation.

Please submit a 60-80 word script summarising your business. You can focus on the general aspects of what you do and what makes your business special. Alternatively, if you're in a single category, you can tailor the script to reflect that. You only need one script, as each finalist is allowed only one video. If you have entered multiple categories, the same video will be used for each.

AI tools can assist if needed, and we've prepared a custom prompt for ChatGPT or any mainstream AI tool to help you quickly generate script ideas. With today’s advanced AI, it can be done in seconds! However, it's crucial to strictly follow the word count. Be sure to emphasise this to anyone editing your script or to the AI tool you're using. Sticking to the word count ensures your script fits within the 30-40 second video timeline. Any script exceeding this length will need trimming.
We need your script by October 3, 2025 (16 days left)
or submit your script before your film session to allow our team to organise recordings and plan necessary shots if possible. Your prompt submission is essential!

If you don't submit a script by the deadline, we will create a voiceover script on your behalf. You won’t have the opportunity to review it, so we highly recommend submitting a script you’re happy with to ensure your business is showcased as you want at the gala dinner.
By default, we will arrange professional voiceover talent, including AI options, to record your script. We won’t need to record any audio on location unless you choose to use your own team member for the voiceover. If so, select "Use our own voiceover talent" from the dropdown and ensure that person is present during our filming session.

If you'd like to send us your own voiceover digitally, that's fine with us. However, we often find that self-supplied audio can suffer from issues such as noisy environments, low-quality microphones, and inconsistent levels and poor sound quality. If you choose to DIY, please ensure your recordings are acceptable. We can guide you through some easy recording setups to improve quality if requested.

Our voiceover options include both male and female voices, some of which are blended with AI. You can listen to samples from previous finalist videos. see if you can spot which ones feature AI voices.

Media Submission:

  • We accept both images and videos. If you only have images, that’s absolutely fine.
  • Ideally, all media should be high-resolution. For screen use, images should be at least 1920x1080 pixels (FHD).
  • Videos are best submitted in a 16:9 aspect ratio with a 1920x1080 FHD resolution. We accept .mp4 and .mov files.
  • If you have instructions on how to use your media assets or would like us to follow a storyboard, please include them in your submission.
  • Include all media assets in a shared folder and send us the download link. Please ensure you grant access to [email protected].
  • You can make a decision on which option you wish to take and upload all necessary files later.
  • Please submit your media assets by October 24, 2025 (37 days left). Early delivery is highly encouraged so we can prioritise your video first.
  • Without your media submission, our team will be unable to create a timeline for the awards category you are in. Please ensure timely submission.

Script Submission:

Instructions for Self-Supplied WBA Video

Self-Supplied Video Deadline: October 24, 2025

Please submit your self-supplied video before the deadline! Early delivery is highly encouraged. Without your video, our team will be unable to create a timeline for the awards category you are in. Please ensure timely submission.

If you wish to use your previous WBA finalist video, simply indicate this on the option choice form. This document is intended solely for those choosing the self-supplied video option. You still need to submit your decision on this video option as soon as possible. You can submit your video anytime before the deadline, once you have made your choice submission. If no changes are needed after submission, we’ll confirm it with you, and your video will be considered done.

Technical Specifications:

  • Master Resolution: 1920x1080 FHD. Videos supplied in 4K will be automatically scaled down to FHD for consistency.
  • Frame Rate: 25fps
  • Video Format: .mp4 format, using either the H264 or H265 codec. Higher data rate output works better.
  • Video Runtime: 30-40 seconds
  • Video Bitrate: 18-20 Mbps (equivalent to 18,000-20,000 Kbps for FHD)
  • Audio Bitrate: 192-320 Kbps
  • Audio Sample Rate: 44.1 kHz or 48 kHz
  • Channels: Stereo (2 channels)
  • Colour Profile: Rec.709 (used for video and broadcast standards)
  • You should color grade and output your video to Rec.709. We do not grade your video if supplied in log space.

Audio and Voice-Over:

  • We recommend adding a voice-over to align with the awards format, but you can supply your video as-is if you prefer. Just indicate "As is" on the option choice form.
  • If your video doesn't have a voice-over and you’d like to include one, you have two options:
    • Supply us with a completed version that already includes the voice-over, or
    • Send us the video and the voice-over file separately, and we’ll combine them for you.

In general, a voice-over is expected to fit the awards format. However, if you wish to use your video as-is, we may need approval from the Waikato Chamber of Commerce and will confirm the decision with you.

Logo Placement:

  • All WBA finalists' videos will end with the finalist’s logo displayed on a solid white or black background for the last 3 seconds. The logo will be sized to match the other finalists' logos for consistency. We’ve already prepared your logo in the correct size and format. If you need a copy, please let us know.
  • To maintain a consistent look for the event, we may need to adjust your logo screen. If you choose the "As is" option, we may ask for your permission to make this adjustment.

Film & Edit Option Notes

Booking Period:

  • Available filming dates: September 29, 2025 to October 24, 2025 (37 days left).

Filming Session Booking:

  • Book early when more spots are available. Filming can begin from September 29, 2025.
  • The last day for filming is October 24, 2025
  • Bookings are first-come, first-served, and early bookings provide more options.
  • Late bookings can lead to scheduling problems, so plan ahead to allow maximum flexibility.

Alternative Dates:

  • Provide at least one, ideally two, alternative dates to help with scheduling.
  • If you’re undecided yet, please give us two alternative dates and submit your dates early so we can adjust later.
  • We’ll confirm the final date and time with you.

Filming Session Details:

  • We offer two filming sessions per day.
  • Morning: 9:30 am | Afternoon: 1:30 pm.
  • Custom start times can be arranged with approval.
  • Out-of-town locations may require time adjustments. Our team will confirm with you.
  • Each session lasts around 2 hours. Plan for 2.5 to 3 hours in total.
  • Inform your team about the filming. Let us know if anyone doesn't want to be on camera.
  • If you're unavailable, assign someone to manage the session in your place. It’s very embarrassing for everyone if we walk into an unprepared workplace where no one is aware of the filming.
  • Include PPE requirements and special conditions (e.g., parking) in the form.

Submission Details:

  • Submit your filming dates first, and finalise your script before your filming date.
  • Yes, you can submit your script after booking your film session, ideally before the filming day, so we can plan timing and shots effectively.
